Mandatory Details Required on a Transfer Certificate for UAE School Admission

To ensure a smooth attestation process, the document must be printed on the official school letterhead and include:

  • Student details: Full name of the student (matching their passport exactly), date of birth, nationality, and other identifying details required by the school authority.
  • Previous school details: School name, school location, date of admission, and last date of attendance.
  • Academic details: Grade or year attended, grade or year completed, curriculum followed, academic year, and grade or year promoted to.
  • School authentication: Original school letterhead, principal’s or authorized signatory’s signature, official school stamp, and date of issue.
  • Attestation, where applicable: If the Transfer Certificate is issued outside the UAE or outside the emirate of admission, it must be attested by the relevant education authority, foreign affairs authority, UAE embassy or consulate, and UAE MOFA, depending on the country of issue.

When Is an Attested Transfer Certificate Required?

The requirement for an attested Transfer Certificate depends on the child’s grade level, curriculum, previous school location, and the emirate where the new school is located. In most UAE school admissions, the Transfer Certificate is used to confirm the student’s previous grade, academic year, and eligibility for the next year group.

Dubai: KHDA

In Dubai, KHDA lists a Transfer Certificate for students joining Grade 2 / Year 3 and above. If a Transfer Certificate is not available, an official end-of-year certificate can be submitted instead. Transfers between Dubai schools are normally handled through the KHDA school system, not through a full overseas embassy attestation route.

Abu Dhabi: ADEK

In Abu Dhabi, ADEK requires a Transfer Certificate when a student is transferring to an Abu Dhabi school for Grade 2 / Year 3 or above, including mid-year Grade 1 transfers. Missing or incomplete documents can delay registration and the student’s confirmed start date.

Sharjah and Northern Emirates

For Sharjah and the Northern Emirates, the receiving school or education authority confirms the final requirement. If the child is transferring from outside the UAE, the previous school document usually needs verification from the country of issue before UAE attestation.

KG1, KG2 and Grade 1

KG1, KG2, and Grade 1 students joining at the start of the academic year are usually treated differently from higher-grade transfers. For mid-year moves or overseas transfers, schools can still request a Transfer Certificate or official academic record to confirm continuous education.

Transfer Certificate Attestation Process in UAE

The Transfer Certificate attestation process in UAE depends on where the certificate was issued and which education authority is reviewing the student’s admission file. For students joining UAE schools from Grade 2 / Year 3 and above, the Transfer Certificate must be correctly issued, signed, stamped, and attested where required before school registration can be finalized.

Step 1: Check the Transfer Certificate Details

Before starting attestation, the Transfer Certificate must be checked carefully. The certificate should be issued on the official letterhead of the previous school and must clearly include:

  • Student’s full name as per passport
  • Date of birth and nationality
  • Date of admission to the previous school
  • Last date of attendance
  • Grade or year completed
  • Grade or year promoted to
  • Curriculum or syllabus followed
  • Academic year covered by the certificate
  • Official school stamp
  • Principal’s or authorized signatory’s signature

Step 2: Confirm the Correct Attestation Requirements

The attestation requirements must be confirmed based on the country or emirate where the Transfer Certificate was issued.

  • Certificate issued in Dubai: For transfers between Dubai private schools, the certificate is usually processed through the KHDA system. External embassy or UAE MOFA attestation is normally not required for a Dubai-to-Dubai private school transfer.
  • Certificate issued in another UAE emirate: The Transfer Certificate must be attested by the UAE Ministry of Education or the relevant education authority that regulates the previous school.
  • Certificate issued in a GCC country: The certificate must be attested by the relevant education authority in the GCC country of issue. Depending on the receiving school, emirate, and admission process, additional foreign affairs, UAE Embassy, or UAE MOFA attestation may also be requested.
  • Certificate issued outside the UAE or GCC: The certificate usually requires full legalisation, including the relevant education authority or notary process in the issuing country, the Ministry of Foreign Affairs or equivalent authority in that country, the UAE Embassy or UAE Consulate, and final UAE MOFA attestation.

Step 3: Complete Attestation in the Country of Issue

For certificates issued outside the UAE, the first stage is completed in the country where the student studied. The starting authority depends on the country and document type.

Step 4: Complete UAE Embassy or UAE Consulate Attestation

After home country verification is completed, the Transfer Certificate may need to be submitted to the UAE Embassy or UAE Consulate in the country where the certificate was issued. This step confirms that the document has been verified for use in the UAE.
